Overview

Parents’ evenings take place virtually using Microsoft Teams. Although you can use the Teams app if you have it, you do not need it and can just use the web browser on your computer (you will obviously need speakers and a microphone and a webcam is desirable) or your phone/tablet.

Prior to the evening, we will email you to invite you to make appointments with the teachers you would like to speak to. For Years 7 to 11, this is done via a website called Parent Teacher Online (PTO). Students in the Sixth Form make appointment themselves, directly with their teachers.

On the evening you just need to follow the relevant link below (also shown in PTO) a couple of minutes before your appointment is due to start.

If the teacher is still talking to the previous parent, you will be asked to wait in a virtual lobby until the teacher becomes free. Microsoft Teams does not currently have the facility to send you a message while you are waiting in the lobby and occasionally teachers may be running a couple of minutes late. If they do not admit you straight away, please be patient and continue to wait.

Following feedback from parents, we thought it would be helpful to share some tips below:

  • Enter your child’s name followed by your name, when prompted as you join the meeting. This makes it much easier for the teachers to track who is waiting.
  • Join the lobby a few minutes before your time if possible.
  • Do not use the chat function, unless it is to explain a technical problem such as loss of sound. Each individual interview is private because the teacher can control the waiting lobby, but the chat will run across all the meetings the teacher has, therefore it is important not to put any personal information there.
  • Most parents successfully accessed Teams via their phone or on their computer via a browser. Some parents reported that if you downloaded the free desktop app onto the computer, it worked more smoothly.
  • There is no functionality in Teams as yet that allows teachers to send a message to parents in the lobby e.g. if they are running slightly late. We will be trying very hard to keep to time!

Parent Teacher Online (PTO) [Years 7 to 11 only]

If you would like to make appointments for a parents’ evening please follow the relevant link below to the Parent Teacher Online website. When you get there, click on “Obtain PIN/Password” and enter the preferred parental email address that you gave us on your “data checking” sheet at the start of the year. A password will be emailed to you and then you will be able to log in using that password and the same email address.

If you do not receive any emails about Parent’s Evening, please check your Junk Mail folder in your email.

PTO – Years 7 and 9PTO – Years 8 and 10PTO – Year 11

If you have not provided us with an email address, or if the one you have provided appears not to be working, you can give us a valid e-mail address by either telephoning the Pastoral Support Centre office or emailing parentsevening@fallibroome.org.uk. If you do not have an email address, you can obtain your login credentials from the Pastoral Support Centre.

The system will allow you to use any internet-connected device to book the appointment times that suit you best. Appointments are five minutes long and take place between 4.30pm and 7.30pm. We strongly advise you to leave a 10 minute gap between successive appointment times, however, to allow a margin of error in the timings.

Please note the following points:

  1. When you log on, the system displays only your own child/children.
  2. You will only see time slots that are available at the time you are using the system.
  3. The system can be used in automatic or manual mode. The automatic mode gives you the best available appointments based on the teachers you would like to see and the time you would like to start. The manual mode allows you to choose the times individually.
  4. An exclamation mark next to a teachers’ name means that the teacher is recommending that you make an appointment with them.
  5. Other parents may be making bookings at the same time that you are using the system. It is possible, though unlikely, that a time slot is displayed to you as available but is then subsequently allocated to another parent. If you then attempt to book this time slot, it will not be available, and a message will be displayed to indicate this.

You can log in and change bookings at any time up to a couple of days before the parents’ evening takes place.

Once you have made all the bookings you require, you can download or email a summary of your bookings in chronological order.

The teacher’s Microsoft Teams meeting link will appear with the teacher’s name on your PTO appointment record and you can use PTO to launch your meetings by following those links. Alternatively, you can use the links below.

If, for any reason, you miss your appointment, you can email teachers instead. Email addresses are staff code@fallibroome.org.uk and staff codes are the three letters in brackets after the teacher’s name in the list below.
